Who this covers
EK Mail is an email service operated by Ek Ra Sunya Inc for members of organisations that use it. Accounts are issued by an administrator at your organisation; there is no public sign-up. This policy covers the EK Mail web application and the EK Mail mobile app for iOS and Android.
What we store
- Account details. Your name, email address, and a hashed version of your password. We never store your password itself.
- Your mail. Messages sent to and from your mailbox, including subjects, bodies, and attachments. This is the service: an email provider cannot deliver mail it does not hold.
- A recovery address, if you set one. Used only to send a password reset link when you cannot get into your mailbox.
- Device tokens, if you enable notifications. An identifier issued by Apple or Google so we can send you a new-mail alert.
What we do not do
- We do not sell your data.
- We do not use your mail for advertising.
- We do not track you across other apps or websites.
- The app contains no analytics or advertising SDK, and does not read your device advertising identifier.
Who can read your mail
Your messages are visible to you, to anyone your administrator has explicitly granted access to a shared mailbox, and to administrators of your organisation who manage the account. Our staff access message content only where necessary to operate the service or where you ask us to help with a specific problem.
How mail is protected
- All traffic between your device and our servers uses HTTPS.
- Sign-in credentials on your phone are held in the device keychain, not in plain storage.
- Remote images in messages are blocked until you choose to load them, so a tracking pixel cannot report that you opened a message.
- Message content is stored on servers we control.
Deleting your account
You can delete your account from inside the mobile app, under Settings > Delete account, or by writing to [email protected]. Deleting an account removes the account, the mailboxes it owns, and the messages in them. Deletion cannot be undone.
Copies may remain in encrypted backups for a limited period before those backups expire on their normal schedule.
Children
EK Mail is a workplace service and is not directed at children under 13. We do not knowingly create accounts for them.
Changes
If this policy changes in a way that affects how your information is handled, we will update the date above and notify account holders by email.
